XML Imports for Project Management Software
When planning for the implementation of a Project Management Software system, quite often clients will request the orders and order line items be imported from a sales order software system they already have in-place. Sales software has had a place in manufacturing industries for quite some time. Some of these systems have matured along the way, with their underlying technologies being upgraded as well. Some newer sales systems have also been developed for specific industries. Getting a Project Management Software system to receive information from such a sales system is becoming easier thanks to newer technologies.

Written as simple text files, XML files look very similar to the HTML used for the development of web pages. However, XML is considerably different from HTML in that the labels used for the information within the XML file can be changed for specific purposes. Also, XML is generally not used to display web pages. Rather, it’s used for storing small portions of data or transferring data between different software systems.
A sales software system might have the capability of exporting complete orders as XML, containing the order number and customer information. It will then have individual sections for each line item on the order. These line items could then be marked with the vendor for that particular item.
A Project Management Software system which knows how the XML is set up within the sales system could easily read an exported XML file when asked and import all the information for that order. It can then look at that order and the order’s line items and deal with the information appropriately as part of Project Management.
Some industry groups are now standardizing the XML files used within the software systems for their industry. The Office Furniture Dealers Alliance is one of these industry groups. A Project Management Software system which uses this industry organization’s XML schema will likely be able to import or export data with any other software system that industry uses.
Project Management Software systems which incorporate newer technologies and follow industry and company standards will also likely to be able to incorporate data from other systems on an as-needed basis. It’s really just a matter of communicating openly on such issues.
